Privacy Policy
How AdmitIQ collects, uses and protects personal data — including the call recordings and student information that pass through the platform.

1.Two different roles
AdmitIQ operates admitiq.co.in and the AdmitIQ admissions CRM. Which rules apply depends on whose data we are talking about, so it is worth separating them clearly.
- Our own data.When you visit our website, fill in the contact form, chat with our sales assistant, or hold a login to the platform, we decide how that information is used. Under India's Digital Personal Data Protection Act, 2023 we are the Data Fiduciary for it.
- A college's data.Student and applicant records inside a college's AdmitIQ account belong to that institution. The college decides what to collect, who to call and how long to keep it. The college is the Data Fiduciary; we act as its Data Processor and handle that data only on its instructions.
If you are a student or applicant and want your records changed or removed, contact the institution that holds them. We will help that institution act on your request, but we cannot make the decision for them.
2.What we collect
From visitors to this website:
- Contact form: your name, email address, institution, phone number and message.
- Sales assistant: the messages you type into the chat window on our site.
- Standard server logs kept by our hosting provider, such as IP address and browser type.
From people who hold a login:
- Name, work email address, phone number, role and the institution you belong to.
- Activity within the platform — leads you worked on, calls you placed, notes you wrote.
Held on behalf of an institution, about its applicants:
- Name, phone number, email address, course of interest and application stage.
- Recordings of calls placed through the platform, and AI-generated transcripts and summaries of them.
- Notes, follow-up dates, documents and a timeline of every interaction.
3.Calls are recorded, and AI listens to them
This is the part people most need to understand, so it gets its own section. When a counselor places a call through AdmitIQ, the call is recorded. The recording is then sent to Google's Gemini model, which produces a transcript, a summary, a lead score and suggested next steps, and writes those back into the applicant's record.
The institution running the calls is responsible for telling students that calls are recorded and analysed, and for obtaining consent where the law requires it. AdmitIQprovides the tooling; it does not obtain consent on an institution's behalf.
Recordings are stored in our database provider's file storage and are readable only by users belonging to the same institution.
4.Why we use it
- To reply to enquiries and arrange demonstrations.
- To provide the platform: placing calls, transcribing them, scoring leads, sending brochures and producing reports.
- To keep accounts secure and to investigate misuse.
- To fix faults and improve how the product works.
We do not sell personal data. We do not share it with advertisers. We do not use student data to train our own models.
5.Who else processes it
Running the platform means passing data to a small number of service providers. Each one is used for a specific purpose:
- Supabase — database, file storage and login. Holds account records, applicant records and call recordings.
- Vercel — hosting for the website and application, including server logs.
- Twilio — places and records the calls.
- Google (Gemini) — transcribes and analyses recordings, and powers the in-app assistant and the sales assistant on this site.
- Resend — delivers email, including brochures to applicants and enquiry notifications to us.
Institutions on our bring-your-own-account model connect their own telephony, AI and email accounts. In that case the institution holds the relationship with those providers directly, and their terms and privacy notices apply to that institution.
6.Where it is stored, and for how long
Data is held on infrastructure operated by the providers listed above and may be processed outside India. We keep enquiry emails for as long as we are in contact with you about them. Institutional data is retained for as long as the institution's account is active. After an account closes, the institution has 30 days to request an export, after which we delete the data from live systems.
7.Applicants who are under 18
Admissions work frequently involves school students who have not yet turned eighteen. The Digital Personal Data Protection Act, 2023 treats anyone under eighteen as a child and requires verifiable parental consent before their personal data is processed, and it prohibits tracking, behavioural monitoring and targeted advertising directed at them.
Institutions using AdmitIQ are responsible for establishing whether an applicant is a child and for obtaining parental consent where it is required. AdmitIQ does no behavioural tracking and serves no advertising to anyone.
8.How it is protected
- Every record carries the institution it belongs to, and database row-level security enforces that boundary so one institution cannot read another's data.
- Access inside an institution is limited by role — counselors, managers and administrators see different things.
- Traffic is encrypted in transit. Passwords are hashed by our authentication provider and are never visible to us.
- Automated call webhooks are signature-verified so that only genuine calls can write to a record.
No system is perfectly secure. If a breach occurs that affects personal data, we will notify the affected institutions and the Data Protection Board as the law requires.
9.Your rights
Under the Digital Personal Data Protection Act, 2023 you may:
- Ask what personal data of yours we hold and how it is being used.
- Ask us to correct data that is wrong, or complete data that is missing.
- Ask us to erase data we no longer need.
- Nominate someone to exercise these rights if you die or become incapacitated.
- Complain to the Data Protection Board of India if we have not resolved your grievance.
To exercise any of these, write to privacy@admitiq.co.in. If your data sits inside a college's account, we will pass your request to that college and support them in answering it.
10.Cookies
We use only the cookies needed to keep you signed in. There is no analytics, advertising or third-party tracking on this site. The details are on our cookies page.
11.Grievance Officer
Harshit Jaiswal is our Grievance Officer and can be reached at privacy@admitiq.co.in. We aim to acknowledge every grievance within 48 hours and to resolve it within 30 days.
12.Changes to this policy
When this policy changes we update the date at the top of the page. If a change materially affects how personal data is handled, we will tell account holders directly.
